File Management
Lyn Singh has asked you to familiarise yourself with Swaggies computer
filing system as you will be using this system on a daily basis.
Refer to the section on Computer Operations in our
Policy
and Procedures Manual.
Carry out the following -
- Create a subfolder in the HR Department folder (if
not already done) for storing your work – use your name as the
folder name.
- Print a copy of the
File
Log Sheet from the General Stationery folder. It is important that
you use this File Log every time you create a new file or amend an existing
file. This way we can easily keep track of our computer files. The Policy
and Procedures Manual will give you more information about File Log
Sheets.
- Copy the Staff and Stores Directory to your new
folder. This file is located in the Staff Stores folder.
* Add your name to this directory - your extension number is 573.
* Resave the file and then print a copy of this directory.
* Keep this directory in a handy position so that you can refer to it
when required.
* Record this document on your File Log Sheet.
- Copy Nameplate-HRAsst.doc from Lyn Singh's folder,
to your new folder. Open this document, add your name where indicated,
print and set up on your desk. Record this document on your File Log
Sheet.
* Add your name and contact details to the Employees data file. To do
this –
. open EmployeeList.doc (located in the Employees folder)
. click on the (Edit Data Source) icon
. add your details onto a new record
. print your record
. save and close the file
. record on your File Log Sheet
. leave the printout on my desk
- Copy the New Employee Training Program Worksheet
called NETP-Worksheet01.doc from the NETP folder to your personal folder.
Open this document and complete according to the instructions given
on the first page.
